Speaker conditions

for participation as a speaker at the Pan-European Electronics Design Conference (PEDC)

By submitting your abstract or your presentation (hereinafter referred to as CONTRIBUTION), you agree to the following agreement between you (hereinafter referred to as the SPEAKER), FED e. V. and IPC Electronics Europe GmbH (hereinafter referred to as the ORGANIZER):

1 Place, date and organizer of the conference

You submit your CONTRIBUTION at the following conference

Date: January 29/30-01-2025

2 Submission and review

The CONTRIBUTION must be submitted via the submission form on the website www.pedc.eu/call-for-abstracts. The ORGANIZER is not obliged to consider submissions received via other channels.

From the SUBMISSIONS received by 31  July, 2024, the ORGANIZER will select those SUBMISSIONS that will be accepted by the ORGANIZER for presentation and publication at the Conference.

There is no entitlement to acceptance of the CONTRIBUTION. The CONTRIBUTION may be rejected by the ORGANIZER at any time and without stating reasons. This also applies after the CONTRIBUTION has been accepted.

The title, length, content focus and presentation format can be adjusted during the review process in consultation between the ORGANIZER and the SPEAKER.

Abstracts will be peer-reviewed by members of the Program Committee. Authors of selected abstracts will be notified and invited to submit technical slide decks (for podium presentations) for peer review.

Authors invited to submit a presentation will receive further guidance on formatting presentation slides.

Accepted presentations will be published at the conclusion of the conference, and authors will deliver podium presentations in person at PEDC in Vienna, Austria.

Paper Abstracts will be reviewed and scored based on the following criteria:

  1. Novelty/innovativeness
  2. Technical merit
  3. Relevance
  4. Quality and readability
  5. Adherence to Non-Commercialism Policy

The selection process is competitive. Authors are encouraged to include sufficient detail to allow the program committee to properly assess the technical merit of the proposed presentation.

All abstract submissions should describe significant results from experiments and case studies, emphasize new techniques, discuss trends of interest, and contain appropriate technical test results.

Previously published papers and/or commercially focused presentations will not be accepted.

This applies to oral presentations, text, and figures (presentation slides).

We offer authors who are accepted for presentation to submit a peer reviewed paper, which will be published in IPC’s DESIGN007 or an FED publication.

The submission must be compliant to the PEDC’s non-commercialism policy.

3 Notification of acceptance or rejection

After completion of the selection process, the ORGANIZER will notify the SPEAKER of acceptance or rejection.

In the event of rejection, the following applies: No costs will be reimbursed for the submission or preparation of the CONTRIBUTION and no remuneration will be granted. The submitted documents remain with the ORGANIZER for internal documentation. They will not be published by the ORGANIZER.

In the event of acceptance, the following applies: The ORGANIZER will carry out a final check of the submitted documents with regard to form and content and, if necessary, carry out a further correction round. The SPEAKER will then incorporate any necessary corrections and submit the corrected documents complete and ready for presentation by the agreed submission deadline of 15 Dec 2024 in digital form, preferably as a PowerPoint file, to the ORGANIZER by e-mail to submission@pedc.eu

4 Presentation date and event program

Once the CONTRIBUTIONS have been accepted, the ORGANIZER will schedule the presentations in the event schedule. The event program will be published on the conference website www.pedc.eu. Changes to the event program by the ORGANIZER are possible at any time, even after publication.

The ORGANIZER reserves the right to cancel the event (even at short notice) in the event of insufficient market response.

5 Presentation, representation, participation

Unless otherwise agreed in writing, the SPEAKER shall present his/her CONTRIBUTION in person on the date specified in the event program. In the event of being unable to attend, the SPEAKER shall appoint a qualified representative and bear any costs incurred.

The SPEAKER guarantees that the presentation will focus on technical content in accordance with the Call for Papers and the PEDC non-commercialism policy.

The presentation language is English.

The presentation time is 30 minutes (including discussion).

The ORGANIZER will provide a Windows laptop in each workshop room. The submitted presentations will be uploaded on the respective laptop. The projectors connected there support the formats 4:3 and 16:9, HDMI and VGA.

6 Rights of use and exploitation

The SPEAKER warrants that all materials submitted and/or presented by him/her (texts, slides, diagrams, illustrations, photos, etc.) and content are free from third-party copyrights. Otherwise, the SPEAKER warrants that he/she has been authorized to use and publish such documents and content by the respective rights holder. Should the rights of third parties conflict with a presentation or utilization in accordance with this agreement, the REFERRER shall inform the ORGANIZER of this immediately.

In the event that the CONTRIBUTION is accepted, the SPEAKER expressly agrees to the following use and exploitation by the ORGANIZER and irrevocably grants the ORGANIZER the corresponding rights of use and exploitation for an unlimited period of time and place:

The submitted CONTRIBUTION (in short or long version as well as the associated presentation) and information on the SPEAKER (CV, photo) may be passed on and published as part of the electronic (e.g. USB sticks or for download) and/or printed participant documents.

Excerpts from these materials may be used for the purpose of conference marketing, e.g. for Information about the program on pedc.eu , posters, PR measures, social media campaigns, mailings, etc.

In addition, these materials may be published by the ORGANIZER after the conference on the Internet (in particular in the knowledge database of the ORGANIZER), in a conference proceedings or in other suitable media.

The SPEAKER consents to being filmed or photographed. In particular, he agrees that his presentation may be recorded by or on behalf of the ORGANIZER in word and image. He will not object to publication (live or at a later date) and will not make any claims whatsoever against the ORGANIZER or its contractors in this connection.

The SPEAKER authorizes the ORGANIZER to make the image and sound material thus obtained accessible to third parties on the Internet and to use this image and sound material to advertise the conference and/or future conference dates. The same applies to the portrait image submitted by the SPEAKER as part of the Call for Papers.

7 Data protection

The SPEAKER expressly agrees that all submitted documents, as well as the personal data and images submitted by him/her, may be used

– be stored in the EDP systems of the ORGANIZER for the purpose of conference organization and within the scope of the above-mentioned utilization;

– forwarded to the members of the ORGANIZER for the purpose of evaluation;

– published for the purpose of conference marketing.

8 Conference registration, remuneration, reimbursement of travel expenses

Upon acceptance of his/her CONTRIBUTION, the SPEAKER will receive free participation to the conference.

The SPEAKER must register online with the ORGANIZER as a SPEAKER

No further remuneration has been agreed. Accommodation and travel expenses will not be reimbursed.

9 Term and validity

This AGREEMENT is valid from the date of receipt of the CONTRIBUTION by the ORGANIZER and includes all versions of the CONTRIBUTION prepared in the course of the review, if applicable, as well as all associated documents submitted (illustrations, photos, table of contents, short and long version of the contribution, curriculum vitae, etc.).

The transfer of rights in accordance with “6. rights of use, exploitation rights” applies independently of this and is unlimited in terms of time and place.

11 Final provision

The full or partial invalidity of individual clauses of this agreement shall not result in the invalidity of the agreement as a whole. The invalid provision shall be replaced by a valid provision that comes as close as possible to the economic meaning of the invalid provision. Collateral agreements must be made in writing.

The law of the Federal Republic of Germany shall apply. The applicability of the UN Convention on Contracts for the International Sale of Goods (CSIG) is excluded. The place of jurisdiction for all disputes arising from this contract is the registered office of the ORGANIZER.
